IMAPS 2020 Virtual Symposium - Speaker Deadlines & Deliverables:

  • "Call For Abstracts" Open: September 25, 2019
  • ~1,000-Word Abstracts Due: JULY 31, 2020
    • The abstract submission period has been extended to accommodate new presenters from the transition to a virtual symposium environment.
  • Confirmation of Abstract Receipt: Auto-Email Upon Submission (check spam/junk folders if you do not receive the email immediately upon submission)
  • Speaker Notification - Abstract Acceptance: Early August
  • Manuscripts Due for Peer-Review: LAST CALL -- SEPTEMBER 4, 2020
    • The paper should present an unbiased description of a certain method or product, discussing both pros and cons. Both subtle and blatant advertisement of any products or services is in direct conflict with the spirit of the Symposium. Examples of the former include repeated references to products or trade names and excessive use of corporate logos and trademarks in graphic illustrations. Photographs of commercial equipment are not permitted unless they add educational value. IMAPS Program Committees desire that all authors and presenters understand unambiguously that overly commercial papers are inappropriate and will not be tolerated; authors are asked to abide by these constraints when preparing their abstracts, papers, and presentations.
    • The language for the IMAPS events and its publications is English, unless otherwise noted.
  • Speaker Training and Q&A Live Webinar with IMAPS Staff: SEPTEMBER 9, 2020, 11AM EASTERN

  • SPEAKERS MUST BE REGISTERED ON/BEFORE September 11, 2020
  • OR YOU COULD BE REMOVED FROM THE PROGRAM LISTING
  • Peer review feedback to authors: SEPTEMBER 18, 2020
  • Speaker Virtual Presentation Uploads Due ON/BEFORE September 18, 2020:

    • Presentation Recording File (see attachments on guidelines, best practices & recording platforms)

      • File types .MOV or .MP4

      • Powerpoint recordings or Zoom/webex recommended - export/save as to a MOV or MP4

        • POWERPOINT TIPS:

          • Once you have recorded the audio/voice presentation, you should save your file using SAVE AS

          • Playback the recording to be sure it worked well and you are satisfied 

          • You are now ready to EXPORT this presentation to a VIDEO format:

          • FILE > EXPORT > CREATE A VIDEO

            • Select the FULL HD version (1080p) and option to "use recorded timings and narrations"

            • Click CREATE VIDEO and save the file name as you need to

            • This export to video could take 10-15+ minutes - be patient and let it finish. You'll see progress bar along the bottom

            • THIS VIDEO FILE IS WHAT SHOULD BE UPLOADED TO THE SOFTWARE PROVIDER

      • Recommended dimensions: 1920px by 1080px (1280px by 720px minimum)

    • Speaker presentations are to be 25-minutes long (no longer – ideally no less)

    • 2-3 Sentence Speaker BIO

    • Headshot Photo

    • NO EXTENSIONS PAST SEPT 18 WILL BE POSSIBLE FOR RECORDING OR SUPPORTING FILES

    • Authors to upload posters to designated One Drive Folders -- PROVIDED BY IMAPS DIRECTLY TO SPEAKERS VIA EMAIL

  • Final/corrected Papers due: OCTOBER 2, 2020


Poster Session/Information
The poster session is still planned to be an INTERACTIVE presentation in our virtual environment.

  • Posters will be available for viewing by the attendees during the week

  • There will be a LIVE Poster Session on Thursday, October 8 from 3-5pm EASTERN

  • During this time our Poster Speakers will have a scheduled ~15 minute LIVE presentation slot to present interactively – answering questions, talking to the poster content...engaging the attendees.

  • POSTER SPECIFICATIONS:

    • Preferred File Types: .PNG or .JPG ONLY

    • We will not accept posters in PPT or WORD format

    • Orientation and Size: Landscape, equivalent proportion to 11 x 8.5 if using Adobe, InDesign, Adobe Illustrator, or Microsoft PPT

    • Poster Speakers can submit to 5 slides

    • Authors to upload posters to designated One Drive Folders -- PROVIDED BY IMAPS DIRECTLY TO SPEAKERS VIA EMAIL
