IMAPS 2020 will offer live broadcasts of keynotes, panels, professional development courses, and specialty programming from October 5-8. Technical presentations will be offered on-demand. The virtual exhibition show hours will be held on October 6-8. The virtual exhibition will also be archived for attendee access from October 9-30.

The virtual symposium platform will soft-open on Friday, October 2 with Swag Day. During this time, registered attendees will be invited to mark their calendars, take note of exhibitors, and become familiar with the virtual environment before content is released. Exhibitors are invited to contribute downloadable e-swag for this day.

Academic Institution Special Exhibitor Package

1.    UNIVERSITY BUNDLE A

The university Bundle A includes an Interactive Profile exhibit package and up to three (3) registrations from your university.

Terms and Conditions
Each university registrant must provide a .edu email address from the exhibiting institution. No exceptions. 
Registrants may be current students, staff, or faculty members. Alumni are not included in this offer.
Any additional touchpoints or upgrades to the exhibit must be paid for at the standard upgrade price of $300/feature.

Touchpoints


Touchpoints are interactive buttons that generate a pop-up window displaying your content. Each exhibitor package includes between 2 and 6 touchpoints, depending on the selected exhibit environment.

Application Process


  1. Download the virtual exhibitor application.

  2. Complete and return the application with payment to IMAPSHQ@gmail.com. Return it by August 14th for an additional complimentary full symposium registration. The final deadline to apply is Friday, September 11th.

  3. Once received, IMAPS staff will confirm the receipt of your application and process your non-refundable payment. 

  4. IMAPS will then connect you with the virtual exhibition host MetroConnections for the development of your virtual exhibit space.

What is the difference between the soft open day, the live show dates, and the archived show dates?
The soft open day on Friday, October 2nd is a pre-live opportunity for attendees to enter the virtual environment, become acquainted with the navigation, and enjoy exclusive digital swag downloads from exhibitors and sponsors. There will be no technical content available on this day.

The virtual environment will be activated for live Professional Development Courses beginning on Monday, October 5th.

Live keynotes and panels, on-demand technical presentations, and the virtual exhibit live show hours will be held October 6th-8th. 

After the live programming and virtual exhibition concludes on October 8th, both the content and the virtual exhibits will be archived for continued attendee viewing through the remainder of October. 


What is a touchpoint and how do I use it?

What is "Swag Day?"
Swag Day is a pre-show element exclusive to our soft open on Friday, October 2nd. On this day only, attendees will be able to download e-swag provided by exhibitors in the form of external links. This is essentially a "bonus touchpoint" for our exhibitors to exchange with attendees. Virtual exhibits will not be open during this time. We ask that exhibitors provide an external link to digital swag of their choice, such as downloads, coupons, or previews of value.


What kind of support will exhibitors receive?
IMAPS has partnered with MetroConnections to host the IMAPS 2020 virtual show environment. Once confirmed as an exhibitor with IMAPS, the MC team will connect with you on all of the detailed related to your exhibit design.


Is there a limit to the number of personnel staffing our virtual booth, either concurrently in total?
No. There is no limit and no charge for booth personnel who have access to just the virtual exhibit hall. However, we will still ask you to register your staff in advance to ensure that all staff receive IMAPS communications and instructions.


What do we mean by "face to face connections" in the exhibit hall?
The IMAPS 2020 virtual platform opens up a pathway for exhibitors seeking face to face interaction that can’t be replicated in a chat environment. Exhibitors can embed their preferred video conferencing tool (including Zoom, MS Teams, Webex, and more) via a link into an existing touchpoint at no additional cost. Don’t have a video conferencing host or want to use ours? Add the hosted Zoom upgrade to your exhibit and we’ll provide a Zoom link for you during the live show dates of October 6-8. Exhibitors can use video conferencing to connect for face to face meetings, relationship building conversations, and product demonstrations that elevate their virtual presence. Please note that video conferencing conversations in an exhibit booth are attendee-initiated in this platform. Attendees must opt-in to a video conferencing conversation by selecting that touchpoint in your virtual environment.


How does the chat upgrade work?
The chat upgrade adds an additional point of connection between an exhibitor and attendees. Enabling chat functionality gives attendees the opportunity to initiate a conversation with your booth staff during live show hours from October 6-8. Exhibitors will be able to manage multiple concurrent conversations through the platform's tools. Please note that chat conversations in an exhibit booth are attendee-initiated in this platform. Attendees must opt-in to a chat conversation by selecting the chat feature in your virtual environment.


What kinds of metrics or reports will we receive?
Exhibitors will receive reports documenting the hover and click count performance of their touchpoints. These reports do not include contact information for the attendee(s) who click/hover over your touchpoints. However, IMAPS will provide pre- and post-show registration lists in a PDF format. These lists include the registrant name, organization, title, phone, email, and mailing address. Exhibitors are responsible for complying with data privacy regulations and guidelines associated with this information.
